The stock admin coordinator ensures an optimal management of the store stocks in order to enable sales teams to offer the best service to customers and being a strong support and partner to the sales team, he/she is responsible for all physical and CEGID product flows and ensures that the store stock is constantly accurate and well-organized, in strict respect of the Group procedures.

MAJOR RESPONSIBILITIES
Stock Operations Management and Control
- Day-to-day operations and controls for a perfect stock accuracy
- Manage all incoming and outbound physical and IT product flows (receiving, ticketing, transfers and shipments, etc.)
- Process Product returns as frequently as necessary (control and relabeling) and reintegrate the concerned products in the available stock.
- Cancel expired reservations and put the concerned products back in the available stock
- Follow-up and correct negative stocks
- Manage defective / shopsoiled products
Stock takes & cycle counts

- Plan and ensure an appropriate preparation of stock takes and cycle counts
- Contribute to scanning and investigations
- Produce report related to stock operation and management
- Propose actions to improve future stock takes results (methods, tool, training…) and reduce shrinkage
- Contribute to other stores’ annual stocktaking
Transversal management

- Liaise with store sales team (ex : stock take organization / stock controls/ replenishment of stock) whenever relevant
- Liaise with corporate: be the entry point at store level for all questions and issues related to the stock
- Support Store Manager to assign corrective actions to store team members in case of stock-related issue
- Contribute actively to team meetings organized by Store Manager and during morning briefing to report on operational issues and stock-related KPIs
Continuous process improvement
- Define and implement an optimized organization of storage
- Define, implement and communicate storage best practices and processes in line with the business needs and internal rules (storage by process, area, signage)
- Proactively perform adjustments whenever necessary to adapt to changing needs : challenge storage set-up, place slow-movers back to the remote stockroom to make room for seasonal products etc.
Stock-related procedures

- Be responsible for the appropriate application of storage rules, stock procedures and best practices by all team members (5S controls, KPIs follow-up etc.)
- Be the store’s key user and trainer on stock-related processes: train new comers on processes & tools, communicate on any evolution (new features and/or procedures), support the team on any issue
- Raise alerts if needed and propose action plan / corrective actions to optimize flows, simplify day-to-day operations and facilitate the work of store team(ex: review of delivery frequency…)
- Replenishment flows
- Support Store Manager to pull the right products and replenishment processes through analyzing stock levels, future/pending deliveries and sales
- Help store management to monitor overall stock and prepare purchase (for instance, by keeping track of possible shortages on highly requested products)

- Stock accuracy
- Perfect match between physical and Cegid stock
- Results of annual stock takes and cycle counts (number of discrepancies, Shrinkage rate)
- Level of negative stocks
- Quality of replenishment (if applicable) : Level of stock (MoS), number of product shortages
- Quality, clearness and cleanliness of stockroom organization
- Quality of relationships with the team
REQUIREMENTS
- Warehouse or stock administration experience in the retail industry
- Independent, attentive to details, highly organized
- Team player with strong communications skills
- Good command of English
- PC knowledge including MS Excel, Word and typing
